Your team
Everybody who works with you gets their own sign-in. Nobody needs your password, and nobody keeps access after they have moved on.
Press your name at the top right and choose Team (on a phone, it is at the top of the menu). Only an owner can open it.
The three roles
There are three, and the difference between them is what somebody can see rather than how senior they are.
Owner — everything. The diary, clients, galleries, invoices, payments, the shop, settings, billing, and the team itself. Only an owner can invite somebody, change a role, or remove a person.
Manager — runs the studio day to day, with nearly everything an owner has. A manager can:
- take and change bookings
- add and edit clients, and erase a client's details when they ask to be forgotten
- upload, deliver and delete galleries
- raise invoices, take payments, and see takings and reports
- run the shop, discount codes and the automations
- plan shoots in Posing, and offer the studio's own poses to be featured in every studio's library
- write and use templates: put a shoot template on a booking, write to a client from an email template, and add questionnaire and contract templates
- change the studio settings, open Billing and change your plan
- download all your studio's records
The one thing a manager cannot do is change the team: they cannot invite anybody, change anybody's role, or remove anybody, and the Team screen is not in their menu. Only give somebody the Manager role if you are happy for them to change what you pay and to erase a client.
Assistant — sees the diary, sees clients, and does the gallery work: uploading, arranging and delivering (which includes deleting a gallery). An assistant can also use Posing: browse it, add the studio's own poses and prompts, plan shoots and share a mood board with a client. An assistant cannot offer a pose to every studio, because that speaks for your business. An assistant can read, write, copy and share templates, but cannot put a shoot template on a booking, write to a client from one, or add questionnaire and contract templates. An assistant cannot take a booking, edit a client, raise an invoice, change a setting, or see any money at all — not takings, not a report, not what a client paid.
That last point is deliberate. A second shooter who can read what the couple paid is a conversation nobody wants to have.

Screens somebody cannot use are not in their menu. They are also refused if the address is typed in directly, so a link forwarded to an assistant does not become a way round the rule.
Inviting somebody
- On the Team screen, go to Invite somebody.
- Type their Name (optional) and Email.
- Choose their Role. It starts on Assistant, the most limited.
- Press Send invitation.
They get an email with a link to set their own password.
- An invitation lasts fourteen days: long enough for somebody on holiday, short enough that a forgotten one is not a permanent way in.
- Inviting the same address again does not send a second link. The invitation already waiting is kept, with the new role.
- Somebody already on the team cannot be invited again. Change their role instead.
- Invitations not yet accepted are listed under Waiting to accept, with the date they expire. Press Withdraw to cancel one.
Changing a role, and removing somebody
To change a role, find the person in the list at the top of the Team screen, pick the new role from the drop-down next to their name, and press Save role. It takes effect on their very next click, so there is no moment where somebody you have demoted can still see the old menu.
To remove somebody, press Remove on their row and confirm. They are signed out straight away.
The list also shows when each person last signed in.
Two rules stop you locking yourself out:
- A studio always keeps at least one owner. To step down as the only owner, make somebody else an owner first.
- You cannot remove yourself. Somebody else has to do it.
Signing in
Each person has their own password of at least twelve characters, and their own lockout after eight wrong attempts. See your account for the rest.
Team members sign in at your own address followed by /studio. They do not have a Meridian account, so the emailed link on the Meridian site's Log in page is not for them. There they use Team member, or signing in with a password? and type your studio's address, which takes them to your studio's sign-in page with their email filled in. If they are not sure of the address, **Not sure of the studio's address?** emails them a link to each studio they can sign in to.
Ask them not to press Continue with Google, Microsoft or Apple on the Meridian site: with an email that has no Meridian account, that starts a new free account instead.
The account owner uses one password for both the website and the studio. A team member has a studio sign-in only, which also means the "code as well as a password" option is not available to them: it belongs to the owner's account.
