Sending your numbers to your accountant

At the end of a quarter or a year your accountant wants the same thing every time: what you sold, what you were paid, what you spent, and the GST on each. You can download it all in one go.

Download it

  1. Go to Business → Reports.
  2. At the top, set the dates with From and To and press Show (or

press This quarter).

  1. Under For your accountant, choose a Format:

- Plain CSV: ordinary labelled spreadsheet files that open in Excel, Numbers or Google Sheets, and that MYOB or any accountant can use. - Xero: laid out to match Xero's invoice and bill import. - QuickBooks Online: laid out to match QuickBooks' invoice import.

  1. Press Download accountant pack.

You get one zip file (a folder squeezed into a single download) for the dates you chose.

What is in the download

  • sales-invoices: every invoice issued in the period, line by line, with the GST beside each amount. Drafts and voided invoices are left out.
  • payments: every payment received, with how it was paid and the reference.
  • expenses: what you spent. Only the business share of a mixed expense is included, and GST is shown only where you can claim it.
  • tax-summary: the totals for your tax return (your BAS in Australia). Money is counted when it arrived, not when it was invoiced.
  • READ-ME: a short note saying what each file holds and, for Xero and QuickBooks, where to import it.

Dates are written day first (31/03/2026). Anything that starts with =, +, - or @, such as a client's name, is made safe so a spreadsheet can never treat it as a formula.

For Xero, the expense account codes follow Xero's standard Australian chart of accounts. If your accountant uses different codes, they can change them on import.

Your accountant still decides what goes on your tax return. This gives them clean numbers to start from.
