The plan for the day
Every wedding photographer builds one — 2:10 dress on, 2:40 first look, 5:15 sunset portraits, 6:00 speeches — and most build it in a document, email a PDF, and email it again when the ceremony moves twenty minutes.
Here it lives against the booking, because it is the same information: the same day, the same venue, the same people.
To open it, go to Home → Bookings, find the booking under Coming up, and press Plan the day.
Starting from a shoot template
A shoot template lays out a whole plan at once: its timeline goes onto the plan for the day, timed from the booking's start, its shots go onto the shot list, and its checklist and notes go on as a private line only you see. Find them under Business → Paperwork → Templates, press Use on a booking and choose the booking. See templates.
Starting from a usual wedding day
While the plan is empty, Start from a usual wedding day lays out a normal wedding around your ceremony time. Type What time is the ceremony (for example 2pm) and press Lay it out.
| When | What |
|---|---|
| Four hours before | Getting ready — the details, 45 min |
| Three hours before | Getting ready — into the dress, 40 min |
| Ninety minutes before | Travel to the ceremony, 30 min |
| Half an hour before | Guests arriving, 30 min |
| The ceremony time | Ceremony, 30 min |
| 35 minutes after | Confetti and hellos, 20 min |
| An hour after | Family photographs, 30 min |
| 95 minutes after | The two of you, 30 min |
| 2¼ hours after | Reception — room and details, 20 min |
| Three hours after | Speeches, 45 min |
| Four hours after | First dance, 15 min |
Then change it. It is a starting point, not a schedule anyone is claiming is right for your day.
Anything that would fall before midnight is left out, so a 9am ceremony does not get getting-ready the evening before.
You can only lay out a usual day on an empty plan, so your timings are never quietly doubled. To start again, press Remove on each row first.
Adding a row
Under Add something:
- Type When (for example 5:15pm) and How long (minutes).
- Add Where if it helps, such as "The orchard".
- Type What happens, such as "Sunset portraits".
- Add Anything to remember, such as "Grandmother uses a stick — chairs nearby".
- Tick Only I can see this for your own notes — second shooter covers the bar,
ring light in the car. The couple never see those rows.
- Press Add it.
To take a row out, press Remove beside it.
When the ceremony runs late
It will. Under Running late, type the time in Everything from and the number of minutes in Moves by (minutes), then press Shift it. Everything from that time onwards moves together, instead of you retyping the afternoon.
Sunset, worked out
The top of the plan says when the sun sets that day, and when the good light starts — about an hour before.
It is worked out from the date and from Where you work, under Settings → Settings. Type a rough Latitude and Longitude for your area there — the two numbers a map app shows when you look up a nearby town, such as -37.81 and 144.96 for Melbourne — and press Save. Until you do, Melbourne is used, which is wrong by minutes or more depending on where you are, so it is worth setting.
On a day when the sun does not set at that location, no sunset time is shown.
The couple can see it
They see the plan on their booking page — the same link as their booking confirmation — with no login and no PDF. Your private rows are left out.
This is the point. You are guessing at half of these times and the couple knows them exactly, so the page asks them to tell you if anything is wrong or has moved.
A second shooter can see the plan too, without your private rows, through the brief on the shoot-day tools screen.
